“Let’s just order pizza for the entire office” is a common phrase that might be heard in a company. We were tasked with what initially appeared to be a simple lunch celebration for a corporate client who had several office locations in northern and southern California.  It sounds easy to just dial in or order online a bunch of pizzas to be delivered to a few offices and Voila, easy as 1-2-3! Well, not so fast….

What if you are trying to feed more than 500 employees in a building? What if you need more than 20 pizzas at one time? What if some employees only have 30 minutes to grab their pizza lunch, eat and clock back into their jobs? What if some people don’t eat carbs? What if someone is gluten free? It sounds like the boss’ request to “just order pizza” has turned into a bigger event to plan than a simple click or call.

Event planning on this scale requires mapping out what some of the potential challenges are, what the goals of the event are, and how to execute the event well. We knew we wanted the pizzas to be good and hot. We knew we had a timing challenge. We knew we needed to find pizza vendors who could step up to these challenges and work together in overcoming these challenges.

After many hours of logistics planning, troubleshooting and creative thinking, the two days of feeding over 2500 in 8 locations was a HUGE SUCCESS.

After many hours of logistics planning, troubleshooting and creative thinking, the two days of feeding over 2500 in 8 locations was a HUGE SUCCESS. The employees were happy, the quality of the pizza was piping hot and delicious and the multiple lines moved quickly. We were grateful of the partnerships we had with our pizza vendors. We are ready to do this again next year!

The professional planning tip I can share is to carefully and meticulously map out your events and find partners who can handle the volume of business without sacrificing excellence in products or services.

Here at The Event Concierge, we want to show you the true meaning of hospitality through everything we do.
